Welcome to Holostaff AI ("Holostaff AI," "we," "us," or "our"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our website, platform, and AI-powered services (collectively, the "Services"). A. Personal Data You Provide to Us

- Onboarding Data: Information you provide during the onboarding process, such as your business goals and payment information (processed by our third-party payment processor, Stripe).
- Knowledge Base Content: URLs, documents, and any other content you provide for your AI staff to learn from ("Knowledge Data").
- AI Staff Configuration: Settings related to your AI staff's appearance, personality, instructions, and deployment.
- Communication Data: Information you provide when you contact us for support or other inquiries.
B. Data Collected Automatically
- Usage Data: We automatically collect information about your interactions with our Services, such as IP address, browser type, operating system, access times, pages viewed, and the page you visited before navigating to our Services.
- Device Data: Information about your computer or mobile device, such as your device ID, model, and manufacturer.
- Cookies and Tracking Technologies: We use cookies, web beacons, tracking pixels, and other tracking technologies to help customize the Services and improve your experience. You can control cookies through your browser settings.
- AI Interaction Data: Anonymized or aggregated data about interactions between end_users and your AI staff for service improvement and analytics (e.g., conversation topics, resolution rates). We do not store personally identifiable information from end-user conversations unless explicitly configured by you for specific features like lead capture.
C. Information from Third Parties
We may receive information about you from third-party services, such as payment processors (e.g., Stripe for billing details) or analytics providers.
If you choose to register or log into our Services using Google Sign-In, we may receive certain information from your Google Account. This includes your name and email address, which we use to create and manage your Holostaff AI account. Our use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
2. How We Use Your Information
Having accurate information about you permits us to provide you with a smooth, efficient, and customized experience. Specifically, we may use information collected about you via the Services to:
- Create and manage your account.
- Provide, operate, and maintain our Services.
- Process your transactions and manage your subscriptions.
- Train and improve our AI models and Services (using anonymized or aggregated data where possible).
- Personalize your experience and allow us to deliver the type of content and product offerings in which you are most interested.

4. Your Knowledge Data
The content you provide for your AI staff's knowledge base (Knowledge Data) is used solely to train and operate your specific AI staff members. We implement strict access controls:
- Your Knowledge Data is not used to train general AI models or the AI staff of other customers.
- Access to your Knowledge Data by Holostaff AI personnel is limited and for support or troubleshooting purposes only, with your explicit consent where feasible.
- You retain ownership of your Knowledge Data. You can manage and delete it through our Services.
5. Security of Your Information
We use administrative, technical, and physical security measures to help protect your personal information. While we have taken reasonable steps to secure the personal information you provide to us, please be aware that despite our efforts, no security measures are perfect or impenetrable, and no method of data transmission can be guaranteed against any interception or other type of misuse.
6. Data Retention
We will retain your personal information only for as long as is necessary for the purposes set out in this Privacy Policy. We will retain and use your information to the extent necessary to comply with our legal obligations (for example, if we are required to retain your data to comply with applicable laws), resolve disputes, and enforce our legal agreements and policies.
